Who we are
Polaris Technologies (SSM 202603066744) is a web design studio in Cheras, Kuala Lumpur. We are the data controller for the personal data described below, and this notice is given under Malaysia’s Personal Data Protection Act 2010.

What we collect
From the enquiry form: your name, your company name if you give one, your phone number, the type of project, the budget range you set, whatever you write in the comments, and whether you asked to hear from us again. From email and WhatsApp: whatever you choose to send. That is the whole list.

How we collect it
Mostly from you, and only when you send it — the enquiry form, WhatsApp or email. One tool runs in the background: Microsoft Clarity records how each visit unfolded — the scrolling, clicks and pointer movements — so we can watch a replay of it. It does not tell us your name. We do not buy lists and we do not scrape.

Why we process it
To reply to you. To quote, deliver and invoice work if we go ahead. To send occasional updates, but only if you asked for them. And to keep the records the law requires us to keep. Until you become a client we hold your details on your consent alone; after that, on our contract with you as well.

Who we share it with
Our website host, our email provider, the service that forwards enquiries from the form to us, and the analytics provider that measures how this site is used. Nobody else. Some of them process data outside Malaysia, and we satisfy ourselves that the protection they offer is comparable. We do not sell your data, and we do not share it for anyone else’s marketing.

How long we keep it
If your enquiry does not turn into a project, we delete it after 12 months. If it does, we keep the project records for 7 years, because tax and company law require it.

How we protect it
Only the people who need your details can reach them. Every account involved uses two-factor authentication, and the services we use encrypt data in transit and at rest.

Your rights under the PDPA
You can ask to see what we hold, have it corrected, limit what we do with it, take a copy in a portable format, or withdraw your consent. Write to [email protected]. We will answer within 21 days, and we will not ask why.

Cookies and analytics
This site uses one analytics tool. Microsoft Clarity sets cookies such as “_clck” and “_clsk” — random identifiers, not your name — and records each visit as a replay of the scrolling, clicks and pointer movements. We do not show a cookie banner, because Malaysian law does not require one; if you would rather not be counted, your browser settings or any blocker will refuse them and nothing here will stop working. We do not profile visitors, and we do not know who you are until you tell us.

Changes to this notice
When what we do changes, this notice changes with it. The date at the top of this page is the version in force.

Write to [email protected] and a person will read it. If we do not put things right to your satisfaction, you can complain to the Personal Data Protection Commissioner of Malaysia.
